Event Operations Associate (LACROSSE)

Job Summary

The Event Operations Associate (Lacrosse) will assist the Lacrosse Tournament Director, VP of Event Operations, and the Event Operations Manager with the planning and execution of all Elite Tournaments and Elite Promotions events along with a direct focus on operations for the IWLCA recruiting events series. This position encompasses a wide variety of planning and management responsibilities while maintaining a high level of customer service through the progression and completion of the events. 

Responsibilities

Operations (IWLCA)

  • Provide on-site event and venue management during all IWLCA Recruiting Tournament Series events and additional clinics if applicable
  • Assist with the Develop Project Management Plan, Communication Plan, and Risk Management Plan for assigned events
  • Evaluate equipment both prior and post event to ensure the items are in proper working condition while keeping an updated inventory throughout the year
  • Develop and manage equipment distribution plans for field and site set-up
  • Develop and implement equipment breakdown methods to maximize efficiency on-site
  • Procure equipment and supplies needed to conduct event operations to include but not limited to ordering and coordination with suppliers while serving as the company liaison to venue operators (i.e. portable restrooms, commercial and utility vehicles, table and chairs etc.)
  • Conduct facility site visits and maintain database of facility assets and operational details
  • Oversee the customization of facility maps for website and internal use by participants and supplier orders (i.e. field lining and portable restrooms)
  • Coordinate rental pick-up/drop-off of tournament items (i.e. goals etc.) from local lacrosse clubs
  • Assist with the coordination of all college coach hospitality needs to include setup, food, and snacks
  • Serve as company liaison to Gatorade to organize ordering and distribution of Gatorade products for designated events
  • Prepare and distribute materials for site coordinator and field marshal binders
  • Other duties as assigned

Communication (IWLCA):

  • Connect with appropriate stakeholders regarding venue requirements for designated events
  • Coordinate operational needs and requirements with clients for assigned events
  • Correspond with event staff, including workers and athletic trainers, regarding their placement for the weekend and responsibilities prior to and during events
  • Manage hotel request for referees and referee assignor

Administration (IWLCA):

  • Recruit and assign workers and athletic trainers for all IWLCA events and manage corresponding hotel requests.
  • Project payments for scheduled staff and report to VP of Operations and CFO
  • Forecast and track consumable expenses and record in appropriate ledger
  • Maintain event staff assignments and payment databases
  • Procure all certificates of insurance required for all IWLCA events

Additional Operations/Communication/Administration Responsibilities

  • Assist with the preparation and organization of all Elite Tournaments and Elite Promotion Events
  • Develop Other duties as assigned

Qualifications and Education Requirements

  • Extensive knowledge of sports and particularly the youth lacrosse and soccer communities and demographic within in the United States
  • Superior oral and written communications skills
  • Effective organizational skills for management of multiple tasks
  • Bachelor’s degree in Sport Management or a related discipline
  • Experience in operations of sporting events, leagues, facilities, and/or professional teams

Preferred Skills

  • Advanced knowledge of products in Microsoft Office Suite
  • Knowledge of basic finance practices for budget management
  • Knowledge of GotSport and Team Sport Information (TSI) software application, or other applicable registration software

Additional Requirements

  • Ability to lift 50 pounds
  • Ability to work weekends, irregular hours, and travel as needed
  • Valid driver’s license and safe driving record
  • Reliable transportation
