Weather Policy
Inclement weather is out of the control of tournament directors, officials, and site managers. Safety is our number one concern. In the event of thunder and/or lightning, all games will be suspended for 30 minutes from the last occurrence. Games will resume at their regularly scheduled time. Adjustment to the schedule may be made depending on the duration of the delay.
The tournament will be held in the rain. In the event of heavy rain, it is up to the facilities we are renting from to determine if play is permitted on the field or not. The tournament directors will work to ensure all games are played, however, the facilities have the final say.
ANTI-HARASSMENT, DISCRIMINATION, & CONDUCT EVENT POLICIES
The IWLCA promotes a positive, supportive environment at all of its events.
There will be zero tolerance for racist, homophobic, transphobic, sexist, threatening, retaliatory, obscene, or demeaning language or actions of any kind from players, coaches, spectators, officials, vendors, or staff. This includes on the field, off the field, and on any properties where an IWLCA event takes place.
Sportsmanship is KEY to a positive experience at IWLCA Tournament Series events.
This includes interactions between players, coaches, fans, and officials, as well as language and actions on the field, on the sidelines, in the stands, at the venue, and in the parking area – before, during, and after the event.
Officials: Only head coaches are permitted to address the officials throughout any tournament. Coaches are expected to communicate with and treat officials in a respectful manner, upholding the values and modeling good sportsmanship.
Refund Policy
The IWLCA understands that unforeseen circumstances, especially injuries, player availability, etc. can occur over the course of a season. Teams should plan for the unexpected and understand that the scheduling process starts months before an event is scheduled to take place. The IWLCA and Elite Tournaments will work with teams to find solutions if possible, with regards to scheduling to avoid a team cancellation. In the event a team must withdraw the following policy is in place:
- Deposits are non-refundable/non-transferable
- No refunds will be given to teams who withdraw 90 days out from an event.
While every attempt to play each event will be made, weather and other unforeseen circumstances may prevent an event from being completed or in some cases, even starting. The IWLCA reserves the right to shorten or alter game schedules in order to complete as many games as possible.
- At a minimum, a 75 % refund will be given to teams that do not start any game in an event.
- A 50% refund will be given to teams that have completed 1 game.
- No refund will be given to teams once they have played 2 games.
USA LACROSSE ALIGNED EVENT
In order to provide the safest and most enjoyable experience possible, this event has chosen to align with the USA Lacrosse guidelines for event operation. These guidelines focus on key areas covering safety and risk management, rules and game format, venue and event administration, and fair and competitive play.
All tournament participants must be current USA Lacrosse members in order to participate. USA Lacrosse membership numbers will be collected and verified when completing tournament waivers. If you are not currently a member, or your membership is set to expire during the event, please visit USA Lacrosse to Register.
Hotels
The IWLCA and Elite Tournaments are pleased to announce the appointment of Halpern Travel as the Official Housing Partner for the IWLCA Leaders Cup.
Halpern Travel, established in 2011, has become widely known for their commitment to providing exceptional service and for their attention to detail. Halpern Travel’s secure, online hotel reservation system allows teams to view information about hotels, including rate, amenities, and availability. Additionally, we are excited to announce Halpern Travel will provide a clear hotel refund policy for all IWLCA Tournament Series events (see below).
Teams competing in IWLCA Tournament Series events will be required to reserve a minimum of (8) eight rooms for (2) two nights through Halpern Travel to be eligible to participate in the tournament. Teams that are based within a 75-mile radius of the tournament venue and are planning to commute are exempt from complying with the tournament housing policy. Addresses used for the determination of the distance will be the address of the tournament venue and the club’s physical address.
Clubs requiring a large block of rooms for multiple teams should contact Halpern Travel for special assistance at 888.640.6400 or [email protected].
Halpern Travel Cancellation Policy: Cancellation of your reservation must be received at least three (3) days prior to arrival by 2 PM ET, or the hotel will charge an individual cancellation penalty of one (1) night room plus tax. All changes and cancellations need to be requested directly with the hotel once the individual penalty period begins. *Note- some individual hotels may require a more restrictive policy.
In an effort to provide the best available options to ALL teams and to ultimately secure as many people in the hotel of their choice, a non-refundable cancellation fee of $50.00 will be charged for any reservations cancelled within fourteen (14) days prior to arrival. Please note that this fee is separate from and in addition to any cancellation charges that you may incur from the hotel. This charge is applicable only to full cancellations and without consideration of the reservation booking date. Halpern Travel appreciates your understanding as we work to accommodate as many people as possible in the hotel of their choice.
Halpern Travel Refund Policy: If an IWLCA Tournament Series event is cancelled for a reason beyond the control of the IWLCA – such as adverse weather, pandemics, acts or regulations of governmental authorities and any other similar circumstances – to the extent that the event cannot be held, teams will not be responsible for hotel reservations that are booked through Halpern Travel.

OFFICIAL RESTAURANT PARTNER
LEVELING THE PLAYING FIELD
The IWLCA is thrilled to announce a new collaboration with Leveling the Playing Field (LPF), a non-profit dedicated to addressing equipment accessibility gaps for players and teams in under-resourced areas. This partnership, supported by our Equity and Inclusion Committee, aims to make lacrosse more accessible to all young athletes through equipment sourcing.
Starting with IWLCA Leaders Cup, the IWLCA will be collecting donations of new and gently used lacrosse sticks, goggles, and goalie equipment. This equipment will be brought back to LPF headquarters, inventoried and sent to various LPF sites like Buffalo, Columbus, Philadelphia, and Washington, D.C. for distribution to local programs. The IWLCA and LPF will continue this effort into select future IWLCA Tournament Series events in the Summer of 2025 and beyond.
At the IWLCA Leaders Cup, players, parents, and coaches are encouraged to bring new or gently used lacrosse gear to contribute. The first 70 people to drop off donations at Headquarters will receive a gift from New Balance.
Tournament Apparel
Official tournament apparel for the IWLCA Leaders Cup will be available for purchase on-site at the Approach Sport tent in vendor village.
